Terms of use
Effective 22 September 2026
These terms govern access to QuoteFlow by MUVA. They apply to each organisation using QuoteFlow and to every authorised user acting for that organisation.
1. Agreement and authority
QuoteFlow is provided by MUVA. The organisation that subscribes to or is given access to QuoteFlow is the “Customer Organisation”. By accessing the service, the Customer Organisation and its authorised users agree to these terms and any applicable service agreement.
You may use QuoteFlow only if the Customer Organisation has authorised you, and only for your approved role and business purpose. Access may be limited, suspended or withdrawn to protect customers, personal information, pricing, records or systems.
2. Accounts and security
You must provide accurate account information, use only your own account, protect your password and device, and promptly report suspected unauthorised access. The Customer Organisation is responsible for assigning appropriate permissions and removing access when a user’s role or engagement changes.
3. Acceptable use
You may use QuoteFlow to prepare and manage authorised quotations and related records. You must not:
- access clients, quotes, reports or settings outside your permission;
- copy, scrape, export, disclose or reuse information except for an authorised business purpose;
- enter unlawful, misleading, malicious or unnecessary sensitive information;
- circumvent security, probe for vulnerabilities, interfere with the service or share credentials;
- upload malicious material or place an unreasonable load on the service; or
- remove ownership, copyright or system notices.
4. Customer data and privacy
The Customer Organisation controls the client, project, quote and other content entered or imported by its users. It is responsible for the accuracy and lawfulness of that content, for giving required privacy notices, and for responding to requests from the people whose information it collects.
The Customer Organisation authorises QuoteFlow to process customer content to provide, secure and support the service. QuoteFlow does not acquire ownership of customer content and does not sell it or use it for unrelated advertising. More detail is in the privacy policy and collection notice.
5. Connected services
Optional integrations may be subject to the connected provider’s terms. A user who connects HubSpot authorises QuoteFlow to search contacts allowed by that user’s HubSpot permissions and import a selected contact. QuoteFlow requests read-only contact access and does not update HubSpot contact records.
Users must not import a contact unless they have authority to use that person’s details for the quotation. Disconnecting stops future connector access but does not automatically delete details already saved in a QuoteFlow record.
6. Quotes, prices and outputs
QuoteFlow assists with preparing quotation documents. Authorised users must check client details, project details, designs, inclusions, allowances, prices, dates and approvals before saving, printing or providing a quote.
A QuoteFlow quotation remains subject to its stated qualifications. It is not a building contract, formal tender or guarantee that a design, price, product, approval or site outcome will be available. Historical quotes may reflect the catalogue and information current when they were created.
7. Ownership
QuoteFlow, including its software, interface, workflows, documentation and branding, is owned by or licensed to MUVA. The Customer Organisation retains ownership of its customer content. These terms give a limited, revocable right to use the service for the authorised purpose and do not transfer any other intellectual property rights.
8. Service operation and third parties
QuoteFlow relies on hosting, Google services and, when enabled, connected services such as HubSpot. Their availability, security and terms may affect parts of QuoteFlow.
We may maintain, change or withdraw features and integrations. We take reasonable care in operating QuoteFlow but do not promise uninterrupted or error-free availability. Customer Organisations should preserve issued documents and follow their own recordkeeping and continuity procedures.
9. Liability and Australian Consumer Law
Nothing in these terms excludes, restricts or modifies a consumer guarantee, right or remedy that cannot lawfully be excluded, including under the Australian Consumer Law. Subject to those rights and any applicable service agreement, liability is limited to the extent permitted by law and reduced to the extent loss was caused by the other party’s act, omission or failure to follow these terms.
10. Ending access
An authorised user’s access ends when the Customer Organisation removes it or when the applicable engagement or service agreement ends. The user must stop using the service and return or securely delete information as directed, subject to lawful recordkeeping requirements.
Ending access does not automatically delete quotes or records that the Customer Organisation is entitled or required to retain.
11. Governing law, changes and contact
These terms are governed by the laws of New South Wales, Australia. The parties submit to the courts of New South Wales and courts entitled to hear appeals from them.
We may update these terms when QuoteFlow or legal requirements change. Material changes will be communicated where reasonably required, and the current version and effective date will remain available through QuoteFlow.
Contract and legal enquiries should be sent to the QuoteFlow contact identified in the Customer Organisation’s service agreement.
