Client information collection notice
Effective 22 September 2026
If a business uses QuoteFlow to prepare a quote for you, that business collects your client and project details. QuoteFlow by MUVA processes those details as the technology provider.
1. Who collects your details
The business that asked for your details or provided this notice is the “Customer Organisation”. It decides why the information is needed and how it is used in its quotation process. Ask the salesperson or Customer Organisation for its legal name, contact details and privacy contact if they are not already shown with your quote.
QuoteFlow by MUVA handles the information on the Customer Organisation’s instructions and also keeps limited account, security and operational records needed to run the service.
2. What is collected
The Customer Organisation may collect names, email addresses, telephone numbers, building or site addresses, lead status, salesperson, project details, quote selections, design choices, prices, allowances, council information, notes and related communications. If HubSpot is used, the selected contact details and identifiers may be stored with the quote.
3. How it is collected
Information may be supplied by you, a joint client or authorised representative. An authorised user may enter it into QuoteFlow or import a contact from a HubSpot account they are permitted to access. The QuoteFlow connector requests read-only HubSpot contact access and does not write contact changes back to HubSpot.
4. Why it is needed
The Customer Organisation may use the information to respond to an enquiry, identify and contact the people involved, understand the proposed project, prepare and administer a quote, manage sales follow-up, retain an audit record, provide support and meet legal or business recordkeeping requirements.
If required information is not provided, the Customer Organisation may be unable to prepare an accurate quote, contact you or progress the enquiry.
5. Who may receive it
Information may be available to authorised staff of the Customer Organisation and to service providers supporting the quotation process, including QuoteFlow by MUVA, hosting and Google-based application or record storage, HubSpot when connected, security, backup, technical support and professional advisers.
Information may also be disclosed where you authorise it or where disclosure is required or permitted by law.
6. Overseas handling
Some technology providers and approved subprocessors may handle information outside Australia, including in the United States and other locations stated in their current data-processing terms. The relevant locations depend on the services enabled by the Customer Organisation. Ask that organisation for details applying to your quote.
7. Access, correction and complaints
Contact the Customer Organisation to ask for access to or correction of your client or quote information, or to make a privacy complaint. For questions about QuoteFlow’s own handling of account and service information, see the QuoteFlow privacy policy.
This is a product-level notice explaining the standard QuoteFlow workflow. The Customer Organisation should provide its own identity, contact details and any additional information required for its particular collection.
